Privacy Policy

The Township often collects personal information when we are providing services to the public. For example, people give their personal information to a government institution when they fill out an application for programs or services. We require this information in order to process that program or service.

Under MFIPPA, government institutions must give notice to people when personal information is collected. The notice should state:

• The legal authority for the collection;
• The principal purpose or purposes for which the personal information is intended to be used;
• Who to contact for more information.

The Township collects only as much personal information as it is necessary to assist you in conducting business with the Township. Collection is often done for the following purposes:

• To process your requests for services, products or additional information;
• To communicate with you regarding services that you have requested;
• To advise you of changes to our website services and of service interruptions; and
• To meet legal and regulatory requirements.

Government institutions must take reasonable steps to ensure that personal information is not used unless it is accurate and up to date. The Township is the sole owner of the information collected on this site. The Township does not use or retain personal information that you provide for any secondary purposes unless you have first been notified and your permission has been obtained. The Township does not share any of the individually identifiable information to any organization or individual, unless you are first notified and your permission is received. In general, a government institution can only use personal information if:

• The individual consents to its use;
• It is used only for the reason for which it was collected; and
• For disclosure to a government institution.

In some circumstances, personal information may be disclosed as permitted under MFIPPA.

Personal information is disposed of in accordance with the Township’s Records and Retention By-law that provides specific retention periods for varying types of information (i.e. a form for a service request). This By-law dictates the appropriate amount of time that information is retained by the Township, and the proper means to dispose of said records and information.

Every computer connected to the internet is given a domain name and an Internet Protocol (IP) address, containing a unique set of numbers. This information reveals nothing personal about the visitor. When a visitor requests a page from within the Township’s website, our web servers automatically recognize that computer’s IP address. Web server log files are generated when visitors view our webpages.

Our website analytics only use non-identifiable data. Some parts of our website may not be logged on our servers, but third party servers. This includes such areas like payments through our third party payment processer Paymentus or our public engagement site Speaking. The Township uses server log data to:

• Fix errors on our website;
• Defend against malicious attacks; and
• Generate website usage statistics.

A cookie is a small text file that a website creates and accesses through your browser when you visit the site. Cookies are used for many purposes, such as to track language preferences, provide customized web page content, and display website navigation history. Cookies used by the Township do not contain individually identifiable information; do not give us access to anything on your device. We only use “session” cookies that expire with each visit (unlike “permanent” cookies that can track visitors across multiple visits, websites, and time). Our session cookie contains a randomized number intended to help your browser interact better with dynamic content on our site, and is not for tracking purposes. Should you opt-out of our web analytics, a cookie will be set to recognize your preference. Data generated from Township cookies are not used to identify visitors, and are never shared with third parties. A cookie cannot:

• Read data off your hard disk;
• Read cookie files created by other websites; and
• Damage your system.

The Township exercises care and due diligence in managing, transmitting and securing personal information once we receive it. We have taken careful measures to secure both your information and our physical premises. This may include access to an on-site office, secure access levels to databases, or the use of passwords and encryption. However, it is important for you to know that data transmission over the internet is not 100% secure. Despite our efforts, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Please keep in mind that whenever you voluntarily disclose personal information online - for example through e-mail, discussion lists, or elsewhere - that information can be collected and used by others. In short, if you post personal information online that is accessible to the public (i.e. on our social media), you may receive unsolicited messages from other parties in return. Ultimately, you are solely responsible for maintaining the secrecy of your personal information. Please be careful and responsible whenever you're online. If you register for any service within the Township network, your account is password protected. Only visitors knowing your password will have access to the information you have provided. We strongly encourage you not to divulge your password to anyone. Ultimately, you are responsible for maintaining the secrecy of your passwords and any account information.

The Township website contains many links to many 'external' websites. These links are provided as a service to our visitors and they do not constitute our endorsement, sponsorship or approval of their content, policies or practices.  We are not responsible for the content and the privacy practices of sites other than our own. We encourage you to examine each site’s privacy policy and disclaimers and to make your own decisions regarding the accuracy, reliability, and completeness of material and information found there.

By accessing any of the pages within the Township’s website, you signify your acceptance of this Privacy Policy. If you do not agree to this policy, please do not use our website. Where the information you are providing to us is sensitive, your consent must be expressed. The following are examples of expressed consent:

• Clicking on the submit button on a form that includes individually identifiable information; Sending an e-mail requesting a product or service; and
• The manner in which your consent is granted may vary depending on the sensitivity of the information that you are providing to us.

Where the information is less sensitive, implied consent will be considered appropriate.

Although we attempt to ensure that all information posted on our site is accurate and complete, we do not represent that it is so, or guarantee it, and accept no liability or obligation for accuracy or completeness. If there is any discrepancy between information posted on our website, staff can be contacted to help clarify the information. We take reasonable precautions to protect your personal information in our possession from loss, misuse and unauthorized access, disclosure, alteration and destruction.

localStorage and sessionStorage are pieces of information that a website saves to an individual's browser. localStorage persists until it is explicitly deleted, while sessionStorage lasts only until the page session ends. This site uses both to provide a personalized experience for users.
